Setting Up a Private Email Account in the New Outlook Client

In this guide, we’ll show you how to set up your Namecheap Private Email mailbox in the Outlook client using the IMAP protocol.

About Outlook for Windows:
Outlook (also called New Outlook) is Microsoft’s latest email client. It is designed to replace the preloaded Windows Mail and Calendar apps on Windows 10 and 11. From late 2024 onwards, it will also be the default mail app on Windows 11.

NOTE: In this guide, we’ll use nctest@namecheap.com as an example email address.

Steps to Add a New Email Account

1. Open the Outlook (New) application on your Windows device.

2. Enter the Private Email address you want to add and click Continue.

TIP: If you already have an account in New Outlook, click the Settings icon in the top-right corner and select Add account.

3. In the next window, click Show more to reveal incoming/outgoing settings:

NOTE: The New Outlook client does not support POP3, so you can only add your mailbox using the IMAP protocol.

4. Enter the following server settings:

Incoming Mail (IMAP):

  • IMAP Password: Your current mailbox password

  • IMAP Server: mail.privateemail.com

  • Port: 993 (or 143 with StartTLS)

  • Secure Connection: SSL/TLS (or StartTLS if using port 143)

Outgoing Mail (SMTP):

  • SMTP Username: Your full Private Email address

  • SMTP Password: Your current mailbox password

  • SMTP Server: mail.privateemail.com (or alternatively, smtp.privateemail.com)

  • Port: 465 (or 587 with StartTLS)

  • Secure Connection: SSL/TLS (or StartTLS if using port 587)

5. After entering all the server details, click Continue.

6. You will see a message regarding Microsoft Cloud.

Syncing your account to the Microsoft Cloud means a copy of your emails will be synchronized between your Private Email server and Microsoft’s data centers.

You may want to review Microsoft’s terms regarding account data:

  • The Microsoft Services Agreement and Microsoft Privacy Statement apply to your use of Outlook and your account data.

  • Your email provider’s terms of service and privacy policy also continue to apply.

To proceed with the setup, click Continue.

7. Outlook will then open a new window related to privacy settings. To continue, click Next.

8. To complete the setup of your Private Email mailbox, Outlook may ask if it can collect user data for improvement.

  • Choose your preference and click Accept.

NOTE: You might see this error during setup in Outlook:

“Something went wrong. Try again. You may need an app password.”

If this happens:

  • Ensure the login details you entered are correct.

  • Verify your credentials by logging into Private Email Webmail: https://privateemail.com

  • If needed, reset your password and try again.

You might encounter the following error when sending emails in Outlook:

“SmtpSubmissionPermanent5XXException: Smtp submission failed. Server ‘mail.privateemail.com’ Port ‘465’. –> Unexpected SMTP server response. Expected: 235, actual: 535, whole response: 535 5.7.8 Error: authentication failed: (reason unavailable)”

If this occurs:

  • Make sure the SMTP password matches the correct password for your Private Email mailbox.

Checking or Updating an Existing Email Account

1. Open the Mail application on your device.

2. Click the three dots next to your added mailbox and select Manage account.

3. Select the mailbox you want to update and click Manage.

4. Scroll to the bottom of the page using the slider, then select Repair options.

5. On the next page, review your incoming and outgoing server settings.

  • Make sure all details are correct.

  • If anything is incorrect, update the information for both Incoming Mail and Outgoing Mail settings.

6. After updating the outgoing server details, click Continue.
